Job Title: Executive Assistant to MD/ CEO

Location: New Delhi & NCR.

Reports To: Managing Director (MD)

Experience Required: 5 to 10 years.

Job Overview: We are seeking an experienced Executive Assistant / Personal Assistant to provide comprehensive high-level administrative support to the Managing Director (MD). This role is crucial for ensuring the smooth operation of the MD’s schedule and the efficient management of various tasks. The ideal candidate will possess exceptional communication skills, strong organizational abilities, and a proven track record in managing complex travel arrangements, hotel bookings, and event planning.

Key Responsibilities:

Schedule Management:

  • Coordinate and manage the MD’s calendar, including scheduling meetings, appointments, and travel.
  • Prioritize and resolve scheduling conflicts to ensure optimal use of the MD’s time.

Travel and Accommodation Arrangements:

  • Arrange complex travel itineraries, including flights, transportation, and accommodations.
  • Prepare detailed travel schedules and ensure all logistics are handled efficiently.

Event Planning:

  • Plan, organize, and coordinate events, meetings, and conferences.
  • Manage logistics, including venue selection, catering, and attendee coordination.

Correspondence Management:

  • Handle incoming and outgoing correspondence on behalf of the MD, including emails, phone calls, and written communications.
  • Draft and proofread documents, reports, and presentations as needed.

Administrative Support:

  • Maintain and update records, files, and contact lists.
  • Assist in the preparation of reports, presentations, and other documents.

Office Management:

  • Oversee office supplies and equipment, ensuring they are well-maintained and stocked.
  • Coordinate with other administrative staff and departments to support overall office efficiency.

Confidentiality:

  • Handle sensitive information with discretion and maintain confidentiality at all times.

Required Skills and Qualifications:

  • Experience: 5 to 10 years of experience in a similar role, providing high-level administrative support.
  • Location: Preference for candidates based in New Delhi & NCR.
  • Communication: Excellent verbal and written communication skills.
  • Organizational Abilities: Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities effectively.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Problem-Solving: Ability to anticipate needs, identify issues, and provide solutions proactively.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.

Education:

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
