Receptionist & Administrative Assistant
Job Description
Job Summary:
We are seeking a friendly, organized, and tech-savvy Receptionist & Administrative Assistant to join our team. This role combines traditional administrative responsibilities with social media management. The ideal candidate will be the first point of contact for our preschool, ensuring smooth daily operations, and will also manage and enhance our online presence through various social media platforms.
Key Responsibilities:
Reception & Administrative Duties:
Greet and assist parents, children, and visitors in a warm and professional manner. Answer and direct phone calls, respond to emails, and manage correspondence. Maintain accurate records of attendance, student files, and other important documents.
Schedule appointments, tours, and meetings as needed.
Assist with enrollment processes, including distributing and collecting forms.
Manage inventory of office supplies and classroom materials, placing orders when necessary.
Handle daily administrative tasks such as filing, data entry, and photocopying.
Support teachers and staff with various administrative tasks as required.
Social Media & Marketing:
Manage the preschool’s social media accounts (Facebook, Instagram, YouTube) to enhance engagement and visibility.
Create and schedule posts, including photos, videos, reels, and updates about school activities and events.
Develop content that reflects the preschool’s values and promotes its programs.
Monitor social media interactions and respond to comments or inquiries in a timely manner.
Assist in creating marketing materials such as flyers, newsletters, and promotional videos.
Track social media metrics to measure the effectiveness of campaigns and adjust strategies accordingly.
Qualifications:
Previous experience in an administrative or receptionist role, preferably in a school or early childhood setting.
Proficiency in using social media platforms for business purposes, including content creation and analytics.
Strong communication skills, both written and verbal.
Excellent organizational skills and attention to detail.
Ability to multitask and prioritize tasks efficiently.
Friendly and approachable demeanor with a passion for working with children and families.
Basic knowledge of Microsoft Office Suite and familiarity with online tools for social media management.
Preferred Skills:
Experience with graphic design software (e.g., Canva, Adobe Spark) for creating visual content.
Knowledge of early childhood education principles.
Familiarity with video editing tools for creating YouTube videos and Instagram reels.
Work Environment:
Interaction with children, parents, and staff is a significant part of the job.
